Full-Charge Bookkeeper

The Multidisciplinary Association for Psychedelic Studies (MAPS) is looking for an experienced Full-Charge Bookkeeper to manage day-to-day accounting and assist with Human Resources (benefits only) in a multi-company environment. Confidentiality, excellent organizational skills, and accuracy are important qualifications for this position, as well as good business relations and the ability to communicate clearly.

MAPS is a small multi-company group that seeks a talented individual to take the “bull by the horns” and manage the day to day activities of the accounting department with limited supervision. You cannot be adverse to handling the low-end tasks, while at the same time, implementing procedures for the entire company that filter information properly to accounting. You will be responsible for seeing to it that a voluminous amount of information is posted correctly and on a timely basis as well as preparing reporting on a recurring and on-demand basis.

The ideal candidate for this position is a skilled self-motivated multi-tasker who works with a high degree of independence. Excellent knowledge of QuickBooks is a requirement — this will be tested. Non-profit accounting experience is a requirement — this will also be tested. You should be comfortable working in a multi-currency (can be trained) multi-company environment with monthly inter-company transactions.


  • Process A/P in QuickBooks, process incoming bills and outgoing payments daily. Collect W-9s and ACH forms
  • Make wire transfers and reconcile monthly bank statements
  • Assign bank fee deposits and checks on a daily basis
  • Process A/R (automated download from Development Software and assisted by part-time A/R clerk.)
  • Inventory management (work with Sales team on reconciling Inventory quarterly)
  • Maintain Accounts Payable, contracts database, Accounts Receivable, Payroll, Benefits and HR files
  • Issue advances and reconcile balances on a monthly basis
  • Collect and input all payroll data for 50 people from timesheet system and input into Intuit Payroll system and run semi-monthly payroll
  • Collect data to generate AR invoices, collections
  • Reconcile donations on a monthly basis
  • Reconcile sales on a monthly basis
  • Process refunds for sales
  • Assist with billing for trainings
  • On-board new employees into Intuit and Benefits systems, and calculate final checks for terminating employees
  • Run Payroll reports for management review
  • Respond to employee questions regarding payroll
  • Confirm submission of quarterly and year end payroll taxes and reports by Intuit
  • Coordinate preparation of annual 1099’s
  • Additional tasks as assigned by supervisor

Required Skills and Experience:

  • Minimum of 5 years experience in an independently functioning, full-charge bookkeeper role; non-profit experience required, multi-company and international experience a plus.
  • Highly organized with reliable and accurate collection, reporting, and communication skills
  • Demonstrated proficiency in QuickBooks, MS Excel, Word, Outlook, and electronic third-party payroll systems
  • Proven ability to prioritize and complete work on an agreed-upon timeline
  • Ability to work collaboratively and responsively with operations, and administration staff


Salary: Commensurate with experience.

Work Days and Hours:

Full-time. Monday through Friday, 9:00am to 5:00pm. Flexible scheduling is OK. It’s getting the job done that matters.
